How To Get The Most Out Of Your Time

Time is one of the most important things in life, and what makes it even more important? Being able to use it well & wisely.



Time determines if you will be productive not, that's why every living soul should manage their time well. Research has proven that only few people are able to make good use of their time by being super productive. Most people are faced with nightmares like procrastination, Distraction, Interruption, Laziness and more. So they're less productive and waste lots of time!

Time is so unique that no one can cheat on time, there is no magic way to stop time, or even slow it down, but there is a way to work smarter, faster, and more efficiently. That's exactly what am gonna show you today!

Everyday has 24hours, how you use it makes you Rich Or Poor! The Rich and the Poor all has the same 24hours a day but what makes them different is the ability to manage time and be productive.

If you're a student, Entrepreneur, Blogger, Business Owner, Office Worker or any other profession, even a WAHM or you ain't even working, maybe just relaxing at home, you will find this article extremely useful as time management is for everyone; Rich Or Poor, Male Or Female, Big Or Small. Except you are comfortable with your less productive lifestyle or don't wanna make some progress.

There's a saying "No matter how good you're in what you're doing, You can still do it better", So stop thinking you're at your maximum productivity length, there are rooms for betterment and managing your time more effectively will help you a lot.

Brainstorm On The Things You Need To Do
You want to manage your time? Why not use 30min to an hour of time brainstorming on things that needs to get done whether it's something urgent or less urgent?

If you have a list of to-do, maybe an office task or things that is a must for you to do, glance at them for a little while.

Brainstorming your TO-DOs is the best way to be informed about what's to be done and even when to do them.

Prioritize Your Task
You've some certain task right? Or less say your daily routine, you should now prioritize your TO-DOs. Someone may want to know why it's necessary to prioritize your task, it's really necessary so that you'll know which one to accomplish first.

It won't make sense to start working on stuff that will be needed in the next few months when you have something that's even more urgent; maybe something that'll be needed in a week time.

If you do, you would have wasted a lot of time before you even realise. Yeah I said waste of time because you can't recover those time to accomplish the one that's even more urgent. So you get the picture of why you should prioritize your task. Now how should your prioritize your task?

The best method of prioritising your task using using the Quadrant Time Management System. Some people use the ABC method but the both will work. I will however talk about using the Quadrant Method and just talk about the ABC method in a glance.

Using the Quadrant Time Management System, This encourages you prioritize your task by splitting them into four different categories. This is based on two factor, Urgency and Importance.

Your TO-DOs are either Urgent Or Important, Both Urgent and Important Or None. The none are irrelevant and time wasters.

An example of task that wastes time is watching movie scheduled for a certain time. Maybe Disney Junior has a program you enjoy by 8pm daily, so set out time daily to follow this program. This isn't important nor urgent but to you it may be! So you should avoid the time wasters as possible.

Your focus should be on the other three (1)Urgent (2)Important (3)Urgent & Important. If you like you can include the fourth one; (4)Time Waster. (if you have any), but you should accomplish relevant stuff first especially the ones that are urgent before attending to the time wasters.

So start prioritizing your task and also include a scheduled time.
If necessary, you should have a time you schedule to begin a certain task and you should also record the time you were able to finish the task in order to track how long the task took you to accomplish.



Recording Time You Finished a task isn't a must but it's good to always record of the time you finished a task so that you can track your performance and see if you're productive especially if it's a recurring task.

When you're trying to accomplish certain task; maybe you want to send 20 different mails to clients, you should set a time limit for that task. You should do something like "I Want To Finish Sending The Mails Before 3Pm", This will motivate you to work fast in order to meet your target.

The fact remain that there are task that you can't predict when it would be accomplished but Some other task may have automated time limit (deadline) especially if you're working for someone; maybe your boss want you to deliver a certain stuff by 2pm, You should set your time limit below 2Pm.

After you've finished your urgent task you can focus on others with low priority.

The ABC Method is similar, it's just (A)High Priority (B)Medium Priority (C) Low Priority. It's based on three level of importance, The A has highest level of importance why the C has the least importance. This way you'll know which should be accomplished first.

Prepare A Daily To Do List
Before you begin work for the day, you should prepare a list of stuff you need to do for the day, it might not only be any serious work, maybe you want to go for shopping, Take a hike, Visit a friend and more.

Your TO-DOs should be listed in a organised and orderly form. You should use a pen and a paper for this but there's no problem if there's an alternative you can use.

Your task should be labeled with its priority, State whether it's urgent or important, both or even none. If a task has a deadline, clearly state it.

For Example:
1.Task A (urgent and deadline is 8pm).
2.Task B (Important)
3.Task C (none).

The best way to organise your TO-DOs is to list them in a table form with the 4 columns present (Urgent, Important, Important & Urgent, None).


After You've Listed Your Daily TO-DOs and prioritize, you should first finish those that are urgent. If there's any that seems daunting and scary you should attempt that one first and that goes in support of the saying:

If it is your job to eat frog, it is best to do it first thing in the morning, Chances are it will be the worst thing you do all day. Mark Twain

So if any task is daunting, face it and by the end of the day you will be left with easy and smaller task.

Know Daily Recurring task
If you have repeated task, maybe something you do on daily basis, you should know them so that you can use reminders to avoid forgetting them.

Glance at your TO-DOs once again and look for those task you'll be repeating on daily basis, Example may be cooking everyday, so it's a recurring daily task because you cook all day but It doesn't need reminder as your stomach will serve as a reminder.😃

To be serious, you should look for daily recurring task, just think! Maybe you organise a link party daily on your Facebook group, you should add it to your phone reminder or other reminding tools.

If your recurring task are mostly internet stuff like mentioned above then the best time saving way is to schedule them, Just use Buffer or Hoosuite to schedule for the whole week or even month.

If it's Pinterest, you may want to try Tailwind or Boardbooster.

Plan Your Strategy For Long Terms task
If you have task that isn't more like a daily routine especially those that are important but is not urgent. You should plan on how to accomplish such task, you may decide to use the weekend for such task.

Lets say you want to launch an online course next month, I know it's not urgent but important except you're reaching your deadline then it becomes urgent. You should plan on how to create the course, are you gonna be dedicating weekends? Daily? Waking up at night? Or setting a specific day?

You should know how to accomplish that task, this applies to stuff other than online course or internet related.

In addition, make sure you ain't using time meant for something urgent to accomplish long term task, plan it in such a way it won't collide with other task especially those that are urgent.

Know The Best Time
There are times you're more energetic to do certain task and be more productive, so for each task you should know the best time for it. For example I've discovered that I'm more productive writing blog posts at night and early morning, so that's my best time because it's distraction free and I'm greatly inspired within those periods.

I've talked about tracking time used to accomplished a certain task, it's good way to know when you're more productive. So record when you started a certain task and when you finished it, don't substract the times you where interrupted or distracted in order to get accurate results. If it took you one year, write it down even though you weren't working during those period.

You should try different time, if you're writing during the day, you should try writing during the night or morning and compare the result. By this you'll know when you're more productive and distraction free as distraction disrupt productivity.

Before The Time
You should try to start your task before the exact time, if your going to work, you should be in your office 30min - 1Hour before the actually time.

You shouldn't start the exact time but before the time, and why? This increase your productivity rate, if you start the exact time you might not have been balanced and it would require some extra time before you become balanced and fit, so when you start before the exact time, you would have actually been balanced before the main time. You get the picture!

So you should always start before the actually time, this contributes to your overall productivity.

Use Reminding Tools
In order not to forget some certain task you should use reminding tools, like your phone alarm and more!

You can also use Google calendar to schedule your task.

I normally use my phone alarm to remind wake myself up to write article for my blog, I prefer 4am to 6am then I can go on with other daily activities.

So use reminding tools for your task, ones you create your daily TO-DOs, create reminder for each of them ASAP. This isn't for only works but other activities you want to do. Oh I want to visit Amber by 3pm! Include it in your reminder.

Stick Only To Work Friendly Environment
The environment you're working determines the overall productivity, you shouldn't work on places that isn't work friendly, places you're easily distracted and more.

If there's anything that motivates you, maybe a picture of an epitome, you should consider hanging his or her photo where you work. It could be anything else.

If there's anything you will be needing to during your work, you should get them in place, if you'll need some glass of water or wine, put them in place.

In addition, before you start your work, tidy up the environment, organize and arrange the necessary. If it isn't organised and well kept you might not be too productive.

Avoid Distraction & Interruptions
You should try as much as you can not to get distracted or interrupted.

Maybe as you're going on with a task and then remembered you have not responded to a mail or Whatsapp message, you shouldn't give way to such interruption, if you attend to it you may be distracted along the line. Rather you should write it down and attend to it later.

When working, you should do the following to avoid being distracted:


  • Shut Down Any ICT Gadget

When you're doing certain task, you should consider turning off your phone, computer, and more to avoid distraction.

If you're using any of these gadgets to work then you should try putting them on silent and disable access to the internet. You may also be needing internet access for your work but if you're not, turn off internet access. If you're using internet for work, Do the following:

Close Browser You Ain't Using For Work
You may get distracted if browsers or even tabs are opened, so you should close them. Only open those you're using to work so that you can stay focused.

Block Social Media and Some Websites
Social media can be a huge agent of distraction, so you should block social media sites but exceptional if you're using any but still block those you're not using. Maybe Facebook, Twitter, Pinterest and more.

Also you should block sites like YouTube.com, and others in order not to be distracted.

When you're working, start blocking ASAP. whichever gadget (laptop or phone) you're using, just Google for tools for blocking sites, It could be chrome or other browser's extension, a software or more and you will get a good one. That's if your gadget don't have the Blocking feature inbuilt.


  • Avoid Procrastination

If you have a schedule, stick to it! Don't leave for some other time.

Procrastination isn't that easy to avoid because of the pleasure of procrastinating, but you should try your possible best.


  • Utilize Extra Opportunity & Downtime

There are some opportunities you shouldn't let waste for any reason, sometimes you may be in a vehicle, a friends place, and more. You should do any task possible. If you wanted to reply mails or chat, you should use those free times.

There are downtimes also, maybe you had to stop your work for some unavoidable reasons, maybe your working tool got spoilt, you ran out of internet service or exhausted your data and more, you shouldn't just relax, you should use that opportunity to do other things.


  • Don't Multi Task

Most people think multi tasking is a way of being super productive but it's actually not, it doesn't work in most Cases, so you shouldn't multi task. It's better to stay focused to a certain task and accomplish.


  • Go For Break

You shouldn't work out your soul, you should have time to rest, eat, and do fun stuff.

You should create a break for yourself and also set time when your break should be over, because you might be carried away!


  • Create Sleep Schedule

You shouldn't forget to sleep because you're working, sleep is very essential and helps us stay healthy. So you should have a schedule for sleeping and it should be around 7-8 hours.

The brain also needs to rest from work, so give you self time to sleep and refresh yourself to become stronger and smarter.

Final Thoughts

I have already talked about me waking up to write article but didn't tell you it's part of my habit, I wake up even before my alarm beeps. It's not my nature to wake up to write but I developed the habit.

To manage time and be productive, you need to develop some certain habits, Maybe creating extra time for something (like waking up), it could be being able to avoid login in social media during work, it could be anything you ain't used to doing but will better your life and make you productive if you do, so you should learn to develop the habit.

It takes 21 days to form a habit they say, so for next 21 days start doing stuff you ain't used to, make sure you're consistent, don't stop for any reason and before the end of the 21 days you'll be amazed with how far you've gone.
